Professional Summary
We are seeking a dedicated and experienced Document Controller (DC) with a semi-senior to senior level of expertise to join our team. The successful candidate will be responsible for ensuring the effective application of document control processes, managing project documentation, and maintaining the integrity of information within our Information Management System (IMS). This role requires a strong understanding of information and document management best practices, excellent organizational skills, and the ability to interface with various project stakeholders.
Key Responsibilities
Governance and Control
- Ensure the effective application of the Client's Document Control processes, procedures, numbering standards, tools, and systems.
- Perform Document Control activities for assigned Project Teams, including the management of all drawings, correspondence, internal documentation, final project documentation, and all project-related documents.
- Implement procedures and work processes that adhere to the Client's Document Control standards.
- Provide oversight and assurance that Contractor Document Control functions conform to and deliver on the Client's Document Control standards.
- Demonstrate a basic understanding of DFO (Documents for Operations) requirements.
- Utilize and share lessons learned in accordance with the Client's best practices.
- Maintain the integrity of Project information stored in the Client's Information Management System (IMS).
- Respond to Project queries and status requests.
- Expedite personnel delivering documents to meet scheduled delivery of information.
- Ensure information is handed over in compliance with the Client's Document Control requirements, specific operations business needs, and project schedules.
Interfaces
- Develop and maintain interfaces with key project stakeholders within the Company and with Contractors.
- Represent the Document Management function at relevant project meetings or workshops (e.g., Project Team Meetings and Project Service Meetings).
- Support and champion document management standardization objectives through the provision of training and other knowledge-sharing activities.
- Liaise regularly with Contractor Document Control staff.
- Research and maintain awareness of DC standards and business best practices for project documentation.
- Serve as the point-of-contact for the project team for the management of project documentation and supporting applications.
Technical Requirements (Must-have)
- Sound knowledge of Information and Document Management processes.
- Experience with the effective application of Document Control processes, procedures, numbering standards, tools, and systems.
- Proficiency in managing various types of project documentation, including drawings, correspondence, and internal documents.
- Basic understanding of DFO (Documents for Operations) requirements.
- Experience maintaining the integrity of project information within an Information Management System (IMS).
- Ability to ensure compliance with Document Control requirements and project schedules.
- Advanced user of MS Office suite of software.
